How Course Stages Work

Overview

Courses follow a cyclical stage model, where learners progress through stages based on course expiration dates. Once the final stage is completed, the learner returns to the first stage and repeats the cycle.

This ensures that learners remain compliant by refreshing their training at the appropriate intervals.

How the Stages Progress

  1. Stage 1 – Basic Course
This is the starting point for all learners.
  2. Stage 2 – Refresher Course
Assigned when the Stage 1 course expires.
  3. Stage 3 – Refresher Course
Assigned when the Stage 2 course expires.
  4. Stage 4 – Refresher Course
Assigned when the Stage 3 course expires.
  5. Cycle Repeats
When Stage 4 expires, the learner is reassigned Stage 1 – Basic Course, restarting the cycle.

Key Things to Know

  • Movement between stages is automatic and based on course expiration dates.
  • Learners do not remain in one stage permanently—they progress through stages over time.
  • The time spent in each stage varies depending on course expiration settings.
  • The number of Refresher stages varies by course and can be customized.

How Stages Appear in the System

You can view how stages are configured by accessing the Reports menu and selecting Active Courses Being Used. This report displays each course group and the stages assigned to it.

Each stage appears as a course in the sequence, beginning with the Basic Course followed by one or more Refresher courses.

The example below shows how a course group is structured, with each stage listed in order:

Each listed course corresponds to a stage in the cycle, which learners progress through based on course expiration dates.
